The society shall be called "PsiStar, The Physics and Astronomy Society QMUL" (hereafter referred to as "The Society").
The name may be abbreviated to PsiStar.
2. Society Activities
As a society we will:
Host seminars from guest speakers on science and related issues.
Support seminars organised by Queen Mary, University of London (hereafter referred to as "The College") and the Physics
Department of The College.
Organise trips and social events to places and events of interest to our members.
Support and encourage events organised by other bodies including The College, the Physics Department, The Institute of
Physics (hereafter referred to as "The IoP") and other societies and clubs of Queen Mary Student Union (hereafter referred
to as "The Union").
Organise Practical Physics Challenges to encourage the problem solving skills of our members and test the laws of physics
ourselves.
The members of The Society shall be given notice of any event or meeting at least 2 (two) days before the event.
3. Members
Full membership is available to all students of The College.
Associate membership is available to all staff and non-students at no extra cost.
Elected members of the committee shall have the cost of their membership waved.
4. Government
The governing body of The Society shall be the General Meetings to which at least the committee should be present but is
open to any other person.
The affairs of The Society shall be administered by the committee between General Meetings.
Notice of the General Meetings of The Society and of The Union, shall be given to all members and non-members who express
interest at least 14 (fourteen) days prior to the meeting.
Full members and associate members of the society shall be entitled to speak or vote at the General Meetings. Non-members
may attend but shall not be given voting rights.
Minutes of all General Meetings shall be kept by the secretary and shall be available on request to any member of The
Society.
There shall be an Annual General Meeting (AGM) called not less than 11 (eleven) months and no longer than 13 (thirteen)
months after the immediate previous AGM. This shall be before the end of the previous academic year.
An Extraordinary General Meeting (EGM) may be called by the Committee or at the request of not less than 1/3 of the full
members of The Society made in writing to the Secretary. Such requests shall specify the subject of the EGM and no other
matters may be addressed. The Secretary shall give the members 2 (two) weeks notice of the EGM.
5. Publication
The Society webpage, www.psistar.co.uk, shall be kept up to date with all information of events and meetings.
The members shall be further informed by posters placed around The College.
Members and non-members, who wish to be included on a mailing list, shall be informed of events and meeting by e-mail
in accordance with the deadlines previously mention this section.
6. Committee Members
The committee shall consist of the senior committee members and general committee members.
The senior committee members shall be President and Treasurer as they are held responsible for their actions and that of the
committee by The Union.
The general committee members shall be Secretary, Social Secretary, Communication Officer, Web Master and Practical Physics
Coordinator all of whom shall be held responsible for their roles by the senior committee members.
The committee members shall be elected at one Annual General Meeting and shall hold office until the next Annual General
Meeting, subject to clause (VI) of this section of the constitution.
Only full members of The Society may nominate or be nominated for committee positions. Nominations will be accepted up to 7
(seven) days before the Annual General Meeting.
In the event of a committee member not fulfilling the requirements of his or her role, the reason(s) for their proposed
dismissal shall be made in writing to the Secretary and an EGM shall be held to address this matter in lines with clause
(VII) of section 4 of this constitution. With a 2/3 majority of the full members of The Society, the committee member may
be relieved of his or her position. The position shall then be advertised for a period of 2 weeks and the replacement member
shall be elected in a General Meeting of The Society.
7. Finance
The Society shall levy subscription on its members in accordance with The Union.
The Treasurer will be responsible for the conduct of all financial matters.
The accounts shall be held by The Union; however the Treasurer and President shall have access to the accounts
on request.
Expenditure of the grant account shall be in accordance with the allocation guidelines of the grant application
as declared by The Union.
The grant application for The Union shall be the responsibility of the Treasurer and Treasurer Elect and shall be
completed and submitted before the end of the academic year and after the Annual General Meeting of that academic year.
Expenditure of the subs account shall be in accordance with The Society Activities, stated in Section 2 (two) of this
constitution.
Grant applications to the Physics Department should be presented by letter and invoice once agreed at least 2 (two)
months before the event.
Grant applications to the IoP should be presented by application form at least two months before the event.
8. Changes to the Constitution
This constitution may be changed only by a resolution supported by two-thirds of the full members present and
voting at a General Meeting of The Society.
This constitution shall be passed to The Union during re-affiliation after the Annual General Meeting and
before the end of the academic year.
9. Safety
The Society nor any of its committee members or members can accept responsibility for the safety of anyone
attending visits or any other event.
10. Affiliations
The Union:
The Society shall conform to the criteria for affiliation approved by The Union and The Society acknowledges
the grounds for disaffiliation.
The IoP:
The Society shall encourage members to join the IoP and shall advertise the student body of the IoP, Nexus,
on the Society Website and other publications.
